This section explains how to backup Teams Chat data. First, create or update a profile to include the Teams Chat workload. Next, assign the profile to users using Quick Configure for manual selection or Auto Configure. This section also explains how to perform on-demand backups for Teams Chat data.
📝Backup Limitations:
Private self-chats (user conversations with themselves for notes or reminders) are not supported due to Microsoft Graph API limitations.
Prerequisites: Data Encryption Key (E-key)
Backups require the Data Encryption Key (e-key) to encrypt data sent to the Druva Cloud Platform.
e-key Definition: The e-key is used for the digital envelope encryption process that Druva strictly adheres to. Druva does not store or have access to the user's e-key.
Cause–Effect: If the e-key is unavailable, backup will fail.
Action: To provide access to the e-key, you must enable one of the following methods:
Configure a Profile to Enable Teams Chat Protection
As a Druva Cloud administrator, you can enable scheduled backup for users through backup profiles.
Define Profile Settings: Specify Microsoft 365 backup settings in an existing or new profile. (See: Create a profile or Update a profile).
Enable SaaS Apps: Ensure the profile is enabled for SaaS Apps and Teams Chat. Druva Cloud Platform automatically starts backing up user data according to the profile's schedule. (See: Define the backup interval for SaaS Apps).
📝NOTE: By default, Teams Chat is disabled in the user profile.
Configure Users for Teams Chat Backup
Verify Backup Status: Monitor backup details on the User Details page.
Define Teams Chat Backup Policies
The following policies defined for a SaaS Apps-enabled profile will apply to the Microsoft Teams Chat backup data:
Backup Schedule: Defines the frequency of data backup for SaaS Apps data. (See: Define the backup interval for SaaS Apps). The Backup frequency is set to once a day by default.
📝NOTE: Teams Chat backups are triggered once daily, but the exact run time can vary based on internal scheduling and job duration, so the time between two snapshots may be less than or greater than 24 hours, and in some cases a specific calendar date might not show a snapshot even though the data for that period is still protected.
Backup Retention Policy: Defines the duration for which Druva Cloud Platform retains the backed-up data in storage. (See: Configure the backup retention policy).
User Data Privacy Policy: Defines which individuals can access user data across the organization. This policy governs both SaaS Apps and device data. (See: Configure the user data privacy policy).
Global Exclusion Policy: Allows you to exclude specific file types and folders from the inSync backups. (See Configure the global exclude list).
Configuring Users for Teams Chat Backup
To set up Teams Chat backup after creating a profile, you have two options: Quick Configure or Auto Configure. Click Configure Backup and select your preferred method.
Quick Configure
Use this option when manually assigning backup settings to selected users.
Steps:
Enter a username or email in Users to Backup.
Select users from the list that appears.
Choose the appropriate storage from the Assign storage drop-down.
Choose a profile from the Assign profile drop-down.
Click Save.
Auto Configure
Use this option to automatically configure users by mapping Azure AD attributes.
Available Filters:
User Groups
Azure AD attributes
All users (full import)
Action: Assign storage and profile based on your selected mapping.
Perform a Manual (On-Demand) Teams Chat Backup
As a Druva Cloud Platform, you can start an unscheduled backup of Teams Chat data as and when necessary. You can perform an on-demand or manual backup using any one of the following procedures:
Procedure
Sign in to the Druva Cloud Platform Console.
Navigate to Microsoft365 > Teams Chat.
Select the user name you want to backup.
Click Backup Now to initiate the backup.
On the confirmation window, click Yes to trigger the backup.
Tip: You can use the search box to quickly find a specific user.
Additional User Actions
Delete: Remove a user from the Teams Chat app.
Enable: Allow backup and restore for the selected user.
Disable: Turn off backup and restore for the selected user.
Handling of Shared Files (Attachments)
Files shared within Teams Chats are uploaded to the user's OneDrive.
When Teams Chat Protection is enabled for a user profile, the OneDrive backup workload is automatically enabled by default.
Teams chats often contain links to files stored in OneDrive. The Druva Cloud Platform captures and backs up these file links as part of the Teams Chat backup. However, the file contents themselves are not backed up through Teams Chat. The actual files remain protected only through the user’s OneDrive backup.
Impact of Disabling OneDrive Backup or Deleting Attachments
If OneDrive backup is disabled for a user, or if the Teams attachments folder in OneDrive is deleted, the following applies:
Teams Chat Protection remains enabled.
During restore, chat messages can still be restored.
Links to OneDrive files become obsolete if the source files no longer exist.
Restored chats will display the file links, but the links will not work when the referenced files are missing.
