Define the backup interval and the schedule user devices and SaaS Apps

Overview

As an administrator, you can control how often backups occur for user devices and SaaS applications.

  • Endpoints (User devices): Set how often backups run, such as every 4 hours. A new backup starts after the set interval, as long as the device is on and connected to inSync Master. If the device is offline, backups resume when it reconnects.

  • Microsoft 365 / Google Workspace: Choose how many backups happen per day or week. These backups run independently of previous successes or failures. For example, if set to back up three times a day, up to three snapshots may be created—though fewer may occur due to Microsoft’s throttling limits.


📝 Note

  • Backup intervals and schedules are configured at the profile level, not at the individual user level.

  • Endpoint Devices must be online and connected to inSync Cloud for backups to trigger.

  • For SaaS Apps, KMS should be activated to enable scheduled backups.

  • For Endpoint devices, even if configured to back up every 5 minutes, files that are greater than 128 MB are backed up once every 20 minutes.


About the backup schedule for user devices

As an administrator, you can define the backup schedule for devices in your organization. You can control this functionality through profiles. You cannot do this at an individual user level.

The backup schedule defines the time period when inSync backs up or does not back up data from user devices. There are two types of backup schedule:

  • Preferred Backup Window: This defines the time period when inSync can back up data from user devices every day. Scheduled backups will be triggered from user devices every day. Any backup triggered during this period will continue till completion, even if it is past the end time. If you do not want any restriction on triggering a scheduled backup, set the same start time and end time.


📝 Note

  • Backup schedules cannot be set based on specific days of the week. For example, excluding weekends from backup schedules is not supported.

  • Backup frequency is defined by intervals (e.g., every 4 hours) and time windows (preferred/blackout), not by specific time or calendar days.

  • Blackout Window: This is the time period during which scheduled backups will not run. However, backups started manually by users or administrators are not affected. To disable the blackout window, set the start and end times to be the same.

  • By default, Backup schedule settings act according to the user time zone. For example, if the inSync Master time zone is New York (EDT) and the Preferred Backup Window time is set to start at 8:00 A.M., backups will start when it is 8:00 AM for user devices in Los Angeles (PDT).


Define the backup schedule for Endpoint devices

To define the backup schedule:

  1. On the Endpoints dashboard, go to Profiles.

  2. Select the profile for which you want to configure folders for backup.

  3. Go to the Edit option at the top right, and click the Endpoints tab from the dropdown. The Edit Profile window appears.

  4. Under the Backup Schedule & Retentions tab, go to the Laptops/Desktop section.

  5. In the Preferred Backup Window list, select the start time and end time to back up data from user devices every day. If you do not want any preference on scheduled backup, set the same start time and end time.

  6. In the Blackout Window list, select the time when you do not want to trigger any scheduled backups. If you do not want this restriction, set the same start time and end time.

  7. Click Save.

Define the backup interval for SaaS Apps

To define the backup interval:

  1. On the Microsoft 365 / Google Workspace dashboard, go to Profiles.

  2. Click the profile for which you want to define the backup interval.

  3. Click the Edit button at the top right, and select SaaS Apps to update the required profile.

  4. Click Backup Schedule and Retention.

  5. In the Backup Every list, select the frequency of scheduled automatic backups for SaaS Apps.

  6. Click Save.
