The Public folder dashboard lists all the discovered Public folders. This topic explains the dashboard in detail and the actions you can perform on it.
Access path
To access the Public folder dashboard, sign in to inSync Management Console and navigate to Microsoft 365 > Public folder.
The Public folder dashboard has three tabs.
All Public folder
Configured Public folder
Settings
All Public folders Configured Public folders Settings
The All Public folder tab lists the public folder name, sub-folders, mail settings, and configuration status of selected public folder.
A Public folder can have one of the following status:
Configured: The selected Public folder is configured for backup.
Not Configured: The selected Group is not configured for backup.
On this tab, you can perform the following actions:
Search a Public folder based on its name
Filter the Public folder based on the mail settings and configuration status
View or hide table columns
View the sites list in full-screen mode.
Configured Public folder tab lists the Public folder name, last completed backup status along with date and time, size of the backed up data, app status, last backup status (Backed Up Successfully, Backup Failed, Backed Up With Error, Never Backed Up), and status details (shows the error code indicating the reason for data backup failure).
You can perform the following actions on the Configured Public folder tab.
Filter the Public folder list based on the following criteria:
Last Backup Status
App Status
Disabled: All Public folders for which backup is disabled.
Enabled: All Public folders for which backup is enabled.
On the Settings tab, you can:
The dashboard lists all the configured and non-configured Public folders.
When you click any non-configured Public folder, the Configure for Backup window is displayed.
When you click any configured Public folder, the Summary page is displayed.
Summary tab
The Summary tab gives you an overview of the selected Public folderβs backup details.
Click on the Public folder Name to view the Public folder details page.
Backup summary
The following table lists the fields in the Backup Summary section.
Field | Description |
Last Completed Backup | The number of days from last completed backup. |
Last Backup Data | The amount of data backed up during the last completed backup. |
Last Backup Status | The status of the last backup displayed as Backed Up Successfully, or Backup Failed, or Never Backed Up. |
Total Backup Data | The total amount of data backed up by inSync for the Public folder till date. |
Storage consumption
The storage consumption section shows how the storage consumption for the Public folder data has changed over the last 90 days. When you hover the mouse pointer over a particular place in the chart, you can see the storage consumed on a day.
Public folder Details
The following table lists the fields in the Public folder Details section.
Field | Description |
Name | The name of the Public folder. |
Status | The app status displayed as Enabled or Disabled. |
Added on | The date and time on which the Public folder was added to inSync. |
Number of Sub-folders | The count of sub-folders within the selected Public folder. |
Path | The Public folder path details for navigation. For example: \TestPublicfolder |
Mail Settings | Displays the status of Mail Settings: Enabled or Disabled. |
Backup Settings
By default, the backup and retention criteria for site settings are set to the Auto Configuration settings.
Click the Edit button to customize the site settings.
The following table lists the fields in the Site Settings section.
Field | Description |
Backup Frequency | The frequency of backup. |
Storage | The assigned storage region. |
Data Retention | The duration for which the data will be retained. By default, the value is set to unlimited. |
Actions
The actions that can be performed on the Public folder page are described in the below table.
Field | Description |
Backup Now | Click Backup Now to perform a manual backup of the Public folder data. |
Download | Click Download to download the Public folder data. |
Edit | Click edit to update the already configured Public folder settings. |
Activity Stream tab
Click on the Public folder Name to view the Public folders' activities page.
The following table lists the fields on the Activity Stream page.
Field | Description |
Activities | x of x | The count of total backup and download activities performed for the Public folders. |
Activity Type | Details of activity performed for the Public folders.

Time | The date and time stamp when the activity was performed for the Public folder. |
Admin | The name of the administrator. |
Status | The status of the activity performed for the Public folder.
For Backup: Backed Up Successfully, Backed Up With Errors, or Backup Failed.
For Download: Download Successful or Download Failed. |
The Activity Stream tab lists the Backup activity logs for the team as follows:
Backup activities: Displays a list of backup activity logs that are less than 30 days old.
π Note
inSync automatically deletes the backup activity logs which are more than 30 days old.
Download and Restore activities β All the Download and Restore activities performed to date are displayed.
π Note
inSync does not delete the download and restore activity logs.
Filters for Activity Stream
Click on the to search, view, and download the logs of backup and download activities performed for the selected Public folder.
The following table lists the administrator activities that you can filter according to the activity types.

Select the Activity on the Activity Stream page to perform the actions as described in the below table.
Field | Description |
Apply (Appears in the Filter dialog box) | Click Apply after you have selected the required filter options as per your requirement to view activities for specific criteria. |
Reset (Appears in the Filter dialog box) | Click Reset to remove all the filter options that you have applied. |
Download Logs | Click Download Logs to download and view the logs of the backup and restore activities performed for the selected Public folder. |
