Know your Exchange Online Dashboard

The Exchange Online dashboard lists all the discovered users. This topic explains the dashboard in detail and the actions you can perform on it.

Access path

Field description

The following table lists the fields under the Exchange Online dashboard.

Field

Description

Search User

Search for a user.

User Name

The name of the user.

Last Completed Backup

The date and time when data was last backed up from the SaaS App. To view the status details, click on the status.

Backup Data

The amount of data that inSync has backed up for that SaaS App account.

App Status

The status of the SaaS App account.

The following symbols are displayed adjacent to the status of the device, based on their configuration.

Persona backup is configured for the device.

Last Backup Status

Backup status of the SaaS App.

Status Details

Displays the error message indicating the reason for user data backup failure. Click the error message for more details. For more information, see SaaS Apps Error Messages.

Click on the column header to sort the list. The sorting is not alphabetical and is done based on the error message.


Filters for Exchange Online

Click on the to filter the user accounts as per the Last Backup Status and App Status.

The following table displays the available filter options as per the Last Backup Status and App Status.

Last Backup Status

  • Backed Up Successfully: All users for which the backup operation was successful.

  • Backed Up With Errors: All users for which the backup operation completed with some errors.

  • Backup Failed: All users for which the backup operation failed.

  • Never Backed Up: All users for which backup was never initiated.

  • Backup Throttled: All users for which the backup was throttled due to API throttling errors.

App Status

  • Disabled: All users for which backup is disabled.

  • Enabled: All users for which backup is enabled.

Actions

Select the user by clicking the checkbox next to the User Name and perform the required actions as described in the following table.

Action

Description

Backup Now

Click Backup Now to start on-demand back up of the Cloud App account for the selected user.

Enable

Click Enable to enable the backup of Cloud App account for the selected user.

Disable

Click Disable to disable the backup of Cloud App account for the selected user.

Delete

Click Delete to remove the Cloud App user account from inSync.


❗ Important

The backed-up data cannot be restored if the Cloud App user account is deleted.


User Details

Click a user name to view the user's details. The Users summary is arranged and displayed across four tabs, depending upon the inSync license your organization holds.

The following tabs display the various user information -

  • Details tab - Provides user summary, data usage, and lists various data sources under protection.

  • ​Backups tab - Lists the data sources under protection and their snapshots - view and manage the snapshots.

Details Tab

Details tab is further divided into section for better segregation of information.

Summary

The following table lists the fields in the Summary.

Field

Description

Name

The name of the user.

Label of the User-Identifier Custom Attribute

This label appears only when you have enabled User-Identifier Custom Attribute in the AD/LDAP settings as well as opted to display the User-Identifier Custom Attribute on the Users page.


The actual User-Identifier Custom Attribute of the user from your registered AD/LDAP.

Email

The email address of the user. Email alerts and notifications to the user are sent to this email ID.

User Status

The status of the user.

Added on

The user activation date and time.

Added by

The name of the administrator who added the user.

Profile

The profile to which the user has been linked.

Storage

The storage region to which the user is linked.

Endpoint quota

The maximum amount of data the user can back up or share on the inSync server from all the devices.

CloudCache

The CloudCache Server to which the user is associated.

Note: If a user is not associated to any CloudCache Server, a double hyphen '--' is displayed.

GUID

AD/LDAP GUID for a user.

Note: If a user is not associated to any AD/LDAP, a double hyphen '--' is displayed.

M365 Preferred Data Location

The preferred data location for an Exchange Online or OneDrive user. This field is applicable only for Microsoft 365 Multi-Geo tenants.

Data Usage

Based on your license and the different data sources under protection, for example, Endpoint (Device) and SaaS Apps (SaaS Apps), this area uniquely displays data for data sources under protection for the user.

The following table lists the fields in the Device Usage.

Devices Backup Data

The sum of data in the backup folders on all devices of the user.

Share Data

The amount of data in the inSync Share on all devices of the user.

# Devices added

The total number of user devices under protection.

The following table lists the fields in the SaaS Apps' Usage.

#SaaS Apps Enabled

The number of SaaS Apps under protection for the user.

SaaS Apps Backup Data

The amount of data in the SaaS Apps under protection.

Data Sources

This area lists all the user data sources, that is, Device and Cloud Apps which are configured for data protection in inSync.

Field

Description

License

The workload license consumed by the user. Example, active or preserve. If no license is consumed, it will show unlicensed.

Activated on

The date on which the inSync Client was activated on the device.

Total Backup data

The size of total backed up data of the user during the first and incremental backups.

Last completed backup

The date and time when the last backup was taken from the device or cloud app.

Last Backup Status

The status of the last backup.

Backups Tab

The Backups tab provides device or SaaS Apps-wise snapshot details for each backup activity. Administrators can view and manage the snapshots based on the requirements.

Select the Datasource for which you want to view the snapshot details. Curated Snapshot and all other snapshots are displayed.

Considerations:

  • You cannot delete a snapshot belonging to a user whose profile is enabled with Data Lock. The data-enabled snapshots will, however, be erased during compaction based on the retention policy.

  • You can delete maximum 20 snapshots at a time.

  • The latest snapshot cannot be deleted.

  • If the Ransomware Recovery service is enabled for your organization and administrators have created a Curated Snapshot for Endpoints, ​​​​​​the snapshots used for creating a Curated Snapshot are indicated with the icon. Such snapshots cannot be deleted. To delete them, you must delete the Curated Snapshot first and then delete these snapshots.   • Quarantined Snapshot is indicated with the icon, which indicates that restore and download action from this snapshot is not allowed.

​​​​​Curated Snapshot - This section contains the cleanest and the most recent version of the file processed from multiple snapshots within a defined date range. For more information about Curated Snapshot, see this page.

Curated Snapshot is available only for Endpoints and it is displayed if the Ransomware Recovery service is enabled for your organization and administrators have created a Curated Snapshot for Endpoints.

Snapshot

The date and time when the curated snapshot was generated.

Size

The size of the curated snapshot.

# Files Included

The number of cleanest files processed from multiple snapshots and available for restore as a part of the curated snapshot.

# Available till

The date and timestamp until which the curated snapshot will be retained.

Snapshots - This section lists all snapshot details. ​​​​​

The following details are displayed in the Snapshots area

Snapshot

The date and time when the snapshot was generated.

Size

The size of the snapshot.

# Files backed up

The number of files backed up as part of the backup.

# Files Missed

The number of files missed as part of the backup.

You can rollback the deleted snapshot(s). For more information, see Rollback Actions.


Actions on the User Details page

You can perform the following actions on the User Details page.

Restore Data

Click the Restore button located on the top right to restore or download data for a user. For more information, see

Activate

From the three dots menu, click Activate located on the top right to activate the user in Endpoints and SaaS Apps. For more information, see Activate Users.

Preserve

From the three dots menu, click Preserve located on the top right to preserve a user in Endpoints and SaaS Apps. For more information, see Preserve Users.

Remove License

From the three dots menu, click Remove License located on the top right to remove the license of the user. Removing a license will delete the data source and its backed up data of the selected workloads and free up the license (active or preserved). This action cannot be reversed. For more information, see Remove License.

Reset Password

From the three dots menu, click Reset Password located on the top right to reset the Client password for the user. For more information, see Reset the password for a user.

Download Authkeys

From the three dots menu, click Download Authkeys located on the top right to download the authentication keys for the user. For more information, see Download the authentication key.

Download Debug Logs

From the three dots menu, click Download Debug Logs located on the top right to download the debug logs for enabling Support to troubleshoot any issue with the Client on the user device. For more information, see Download inSync user log files.

Delete

From the three dots menu, click Delete located on the top right to delete the user. For more information, see Delete Users.
