Get started with SharePoint Online Data Protection

This article outlines SharePoint data types that can be backed up and restored, along with limitations and available console tasks.

Overview

As an inSync Cloud administrator, you can configure inSync with Microsoft 365 to automatically discover and protect SharePoint Online site collections. inSync supports backup for both classic and modern site types.

Supported Site Collection Types

  • Classic Sites: Commonly used for collaboration, intranet portals, and document storage.

  • Team Sites (Hidden Sites for Microsoft 365 Groups and Teams Web App):

    A team site enables collaboration, allowing users to share information and manage files across devices. It automatically creates a Microsoft 365 Group, and any added users are included in the group.

    These sites do not appear in the SharePoint sites list.

Data backed up by inSync for SharePoint Online

You can backup the following SharePoint Settings and SharePoint Data for SharePoint Online:

    • Description

    • Term set or term

    • Default value

    • Display Format

    • Allow multiple values

    • Require that this column contains information

    • Enforce Unique values


    ⚠️ Note: Due to Microsoft API limitations, user alerts, content organizer settings, site closure/deletion, and output cache cannot be restored.

    📝 Note: Backup/restore of Term Group, Term Set, and Term settings is not supported due to Microsoft Graph API limitations.

⚠️ Note: Web parts, list templates, themes, and solutions support in-place restore only.

📝 Note: For site content types, back up and restore are performed at root site collection level, subsite level, and list or document library level.


SharePoint Data

inSync backs up the following from Team sites and Classic sites:

  • Term store (site-level terms only)

  • Metadata associated with site collections, sites, libraries, list, templates, assets, folders, files, content types, and permissions

  • Audit Data for SharePoint Components: The following audit data is backed up and restored:

    • Files, Folders, List Items, Site Pages – Modified By, Modified Time, Created By, Created Time

    • Document Library, List – Modified Time

    • Site, Subsite ⚠️ – Modified Time, Created By, Created Time


      ⚠️ Note : Audit data restore is not supported for subsites or sites due to Microsoft API limitations.


SharePoint Backup Limitations

Due to Microsoft API restrictions, the following limitations apply:

  • Unpublished site pages are not backed up

  • Checked-out files and folders are not backed up

  • Recycle bin contents are excluded

  • The Forms folder is displayed by default in every folder for every backed-up site collection and will not be restored.

  • Titles containing "/" are replaced with "_" before backup

Data excluded from backups for SharePoint

Teams Meeting Recordings (TMR)

Files from the default TMR folder path are excluded to speed up backup. For details, see Exclusion of Teams Meeting Recordings from backups.

Bulk downloads from the Admin Console are not recommended due to timeouts. Use Restore instead


📝Note: inSync users cannot download any data. Admins should avoid using browser-based bulk downloads, which are single-threaded and can time out after 6 hours.

Required permissions for access to SharePoint Online
