Converting A Shared Exchange Online Mailbox To A User Mailbox in Druva inSync

Overview

When a mailbox is converted from a Shared Mailbox to a User Mailbox within Microsoft 365, the licensing logic within Druva must be updated. This ensures the user is correctly identified as an "Active" M365 user and that backups continue under the appropriate license.

Prerequisites

  • M365 Configuration: The conversion must be completed in the Microsoft 365 Admin Center first. It should be an active user Mailbox in M365

  • M365 Licensing: An appropriate Microsoft 365 license (e.g., Business Premium, E3, or E5) containing an Exchange Online Plan must be assigned to the user in Microsoft 365.

Procedure

Follow these steps to update the license and backup status in the Druva inSync console:

1. Verify M365 Status

Ensure the conversion is finished in the Microsoft 365 portal. The mailbox should no longer appear under "Shared Mailboxes" and should now be listed as “User Mailbox"

2. Preserve the User in Druva

In the Druva inSync console, navigate to Users and locate the specific account.

  • If the user is currently "Active," change their status to Preserved. ( Make sure the User status is in a Preserved state).

  • Note: This "resets" the license mapping for the next synchronization cycle.

3. Enable the Exchange Online Device

  1. Navigate to Druva > Microsoft 365 > Exchange Online.

  2. Locate the user in the list.

  3. If the status is "Disabled," select the user and click on three dots menu and click Enable.

4. Trigger a Manual Backup

To force Druva to recognize the change in mailbox type:

  1. Go to the Druva > Microsoft 365 > Exchange Online.

  2. Select the user from the list and click on the ‘Backup Now’.

  3. Wait for the backup to reach a Successful status. This action forces Druva to query the Microsoft Graph API and update the mailbox metadata.

5. Re-activate the User

  1. Return to the Users page.

  2. Select the user and click Activate.

  3. Verify: Go to the user details page to confirm that the account is now consuming an M365 Active license (instead of a Shared Mailbox license).
