Overview

inSync provides reports that contain a summary of events and activities that have occurred during a specific period.

This topic explains the types of reports and provides instructions for viewing and receiving reports.


📝 Note

  • Timestamps that appear on the reports follow the UTC time zone.

  • The time stamp for triggering any email scheduled report is as per the time zone configured for that administrator.

  • By default, reports are available only to administrators. Administrators can schedule and send the reports over email to other non-administrator recipients.

  • The inSync report schedule configuration set by an administrator is an individual setting. These settings will not be visible to other administrators. This feature is designed in such a way that all admin can fulfill the report requirement individually.


The following table lists the types of reports that your inSync edition supports.

Active alerts for a specified period. Active alerts are alerts that are not yet resolved.

All alerts generated for a specified period.

Association of the administrators with inSync profiles.

Provides information about the devices that are deleted from inSync

The backup activities failed due to irrecoverable alerts during a specified period, such as user quota error. You can take corrective action to resolve an irrecoverable alert.

The status of the last backup.

All restore activities during a specified period.

Provides details of the share statistics, such as user details, profile, shared files and folders, size of shared data, and links to shared data.

The statistics and alerts for all storages during a specified period.

If you configured inSync CloudCache Server for your environment, this report also displays inSync CloudCache Server statistics, such as the server name, the number of users mapped to the server, the number of users ready for restore, the total disk space available for cache data, and the total disk space that the cache data consumed until date.

The details related to user devices, their activation date, and the status of the first backup from their device. This report is useful when you are rolling out inSync in your organization. You can keep track of the user devices that have inSync installed. You can take corrective action if inSync was unable to complete the first backup from any device.

This report also includes detailed information about the first backup, such as the first backup status, total connected time, bytes transferred, and backup size. This report also indicates if system settings backup is activated for a device. This report also includes the list of users who did not add any device to their inSync account.

The details related to users provisioned using SCIM-based IdPs in inSync.

Provides detailed information related to the inSync Client upgrade status for active devices.

The statistics for all the users that are added, deleted and preserved during a specific period.

The details related to file violations to the company policies. The report lets you identify the user, data sources, and files that violate your organization’s compliance policy.

The details related to archived file violations for the past 90 days. The report lets you identify the user, data sources, and files of the archived file violations.

The details related to email violations to the company policies. The report lets you identify the user, data sources, and files that violate your organization’s compliance policy.

The details related to archived email violations for the past 90 days. The report lets you identify the emails, user, and data sources of archived email violations. The email data can be the emails that are backed up from MAPI and Exchange Online.

This report provides information on the users preserved in SaaS Apps and Endpoints. It also provides information about the workloads which consumed preserved licenses, the date on which they were preserved, and the mode used to preserve.

Provides details such as the number of total users added and deleted to Endpoints. It also provides information about total Endpoints active and preserved license allocated as well as consumed on a weekly as well as monthly basis.

Provides additional details or statistics for Public folder backup and restore activities performed during a specific time period.

Details related to all the backup and restore activities that occurred on configured Salesforce organization during a specified period.

Details of device inactivity with respect to backup and connectivity with inSync server. You can use this report to track the inactive devices assigned with various profiles. The report also provides the auto-delete date scheduled for each inactive device if the setting is configured for the profile.

Note: This report supports version V2 of report APIs.

Details related to all the backup and restore activities that occurred on SharePoint Online Site Collections during a specified period.

Details of the files that were deleted from inSync.

Details of the emails that were deleted from inSync.

System information, license information, server statistics, storage statistics, storage alert, last backup status, failed backups, active alerts, restore activity, sharing usage, user rollout, Salesforce organization backup and restore. If you configured inSync CloudCache Server for your environment, this report also displays inSync CloudCache Server statistics, such as the server name, the number of users mapped to the server, the number of users ready for restore, the total disk space available for cache data, and the total disk space that the cache data consumed until date.

View a report

To view a report

  1. On the inSync Management Console menu bar, click Reports.

  2. Click the report that you want to view.

inSync displays the report for the activities that occurred within the last 30 days. Use the Period list to filter this report. However, you cannot filter Last Backup Status, Sharing Usage, and User Rollout reports because these reports publish all data.

The report details displayed vary based on the selection criteria - days/months.

Scenario: Last Month versus Last 30 days' selection

If you selected Last Month as the criteria and the current month is April, the report displays details from March 1 to March 31.

If you selected the Last 30 days as the criteria, the report displays details for only the last 30 days. For example, if you chose April 1 as the date, the calculation is 30 days backward, starting from April 1, March 31, March 30, and so on.


📝 Note
If you have more than 10000 devices, you cannot open and view the Complete Report. However, you can send this report to your email or download this report on your computer.


Download a report

To download a report

  1. On the inSync Management Console menu bar, click Reports.

  2. Select the report that you want to download

    • If you want to download the report in HTML format, click Download > Download HTML.

    • If you want to download the report in CSV format, click Download > Download CSV.

inSync saves the report to your computer.

Send a report to your email

To send a report to your email

  1. On the inSync Management Console menu bar, click Reports.

  2. Select the report that you want to email.

  3. Click Email.

  4. In the Email this report to field, enter the name of the person to whom you want to email the report. By default, your email ID is displayed in this field.

  5. Select the type of report that you want to generate. You can select HTML or CSV.

  6. Click Send to email the report the desired email ID. The report will be generated in the background and sent by email message is displayed.

  7. Click OK.

A " Reports successfully requested to be emailed." message is displayed.

Update email schedule

Administrators can update the email schedule as per their preference.


📝 Note

  • Change in a report's email schedule is applicable to the administrator modifying it and the non-administrator recipients. All other administrators continue to receive the reports as per their defined schedule.

  • If your organization's inSync license expires, inSync stops sending scheduled reports. In this case, an administrator can view the desired report by logging on to inSync Management Console.


Procedure

To update the email schedule

  1. On the inSync Management Console menu bar, click Reports.

  2. Select the report for which you want to update the email schedule, and then click Edit Email Schedule. The Complete Report: Email Schedule window appears.

  3. Select the Enable Email Schedule check box.

  4. Provide details on the following:

    • Send Report:Click the frequency for email delivery.

    • Frequency:

      Enter a schedule frequency to send the report.

      • Daily: Email is sent everyday.

      • Weekly: In the Send of every list, click a day.

      • Monthly: In the Send on day box, type a specific day of a month.

    • Time:Type a specific time.

    • Format:Click a format of the report.

    • Email this report to non-administrators:

      Type the email address of the recipients whom you want to send this report. The recipients will also receive this report as per the defined schedule.


      ❗ Important

      • You cannot remove the email address of the administrators who have subscribed to this report.

      • When administrators add non-administrator users as subscribers for a report, the administrators themselves become a subscriber of that report. They cannot unsubscribe from this report.


  5. Click Save.

Enable or disable report notifications

Each administrator must log on separately to the inSync Management Console and specify the report notification schedule. You cannot enable or disable report notifications for any other administrator or a specific administrator type.

Procedure

To enable or disable report notifications,

  1. On the inSync Management Console menu bar, click Reports. The Manage Reports page appears, which includes a list of all the reports.

  2. Select the report whose schedule you want to update, and then click Edit Email Schedule. The Edit Email Schedule window is displayed.

  3. To receive report notifications, select the Edit Email Schedule check box and provide the following information:

    1. In the Send Report list, select whether you want to send the report daily, weekly, or monthly.

    2. In the Frequency list, select the frequency of the report notification.

    3. In the Time list, specify the time when the report notification must be sent.

    4. In the Format list, specify the format in which the report must be sent.


      📝 Note
      If the file size of the subscribed report is

      • Less than or equal to 5 MB, the report is sent in the format that you have selected.

      • Greater than 5 MB, the report is sent in .zip format.


  4. To stop receiving the report notifications, clear the Edit Email Schedule check box.

  5. Click Save.
