What information does this report provide

This report displays a consolidated view of email compliance violations to the company policies within a specified period. The email data can be the emails backed up from Exchange Online.

How does the report help

This report can be leveraged to identify non-compliant emails, critical violations, resolution details, and more.

With this information available well in time, you can take corrective actions.

To access the report

You must either be a Druva Cloud Administrator or an administrator with View Reports rights assigned and the Sensitive Data Governance feature enabled.

Go to Druva Cloud Platform Console Global Navigation > Reports > Data Governance > Non-Compliant Email Report.

Using the report


๐Ÿ“ Note:

By default, the period selected for the report is 18 months from the current date. For example, if today is December 1, 2023, the report displays data from June 1, 2022 to December 01, 2023.


The data in the reports is synced periodically. The report shows the Data last updated details.

The Non-Compliant Email Report comprises the following sections:

Description

Violation Reported On

Select the period from when the violations were reported. By default, it is 18 months.

Description

Total Non-Compliant Emails

Total number of emails violations within the specified time. By default, the 18-month count is displayed.

Critical Violations

Total number of critical violations discovered within the specified time. By default, the 18-month count is displayed.

Pending On Users

Total number of email violations on which no user action is taken. By default, the 18-month count is displayed.

Pending On Admins

Total number of email violations on which no admin action is taken. By default, the 18-month count is displayed.

Top 5 Policy Distribution

Graphical view of the consolidated number of violations for the top 5 compliance policies.

Resolution Chart

View the count and distribution of emails automatically archived via the Violation Management Settings.

Top 5 Non-Compliant Users

Archived Non-Compliant Email details

Field

Description

Subject

The latest subject of the email violation.

From

The email ID of the sender of the email.

Draft emails without sender information display "" in the " From " section on the Email Violations page.

Email Path

The location where the email is stored.

Email Sent/Received Time

The date and time of sending or receiving the email.

Policy Violation

The name of the policy that is violated by the email.

Sensitive Data Found

The type of sensitive data that is found in the email.

Severity

The details of the severity of violation.

User Name

The name of the user for whom the violation occurred. In the case of EML files, the username that is configured on the device from where the EML files were backed up.

Email

The email ID for which the violation occurred.

Violation Reported On

The date and time at which the violation is found in the email.

Resolved On

The day and time when the email violation was resolved.

Resolution Details

The details of the resolution of the email violation. For example, Auto Resolved or marked as Acceptable Risk.

Additional Comments

Additional information about the violation.

Pending Actions

Non-Compliant emails on which no action is taken.

User Resolution

Details of action taken by the user on the non-compliant email.

User Comments

User comments about the violation.

Subscribe to report

You can schedule and subscribe to receive reports over email as a CSV file or a PDF. A subscription can be created for other members of the organization, too.

By default, the data fetched in the report's timestamp follows the logged-in adminโ€™s time zone.


Email the report

You can email the report in CSV or PDF format to other recipients on demand.

Download widget data

You can download the widget data in CSV, CSV Summary, Excel, or PDF format.

Download non-compliant email details data

You can download the non-compliant email details data in CSV, Excel, or PDF format.

Add Filters to get a report with more granular data

Global filter: You can create a global filter, page filter, or panel filter to fetch details based on your requirements.
