Protect Exchange Online using Microsoft 365 Backup Storage

Overview

Microsoft 365 Backup Storage enables you to protect and back up Exchange online data using the Microsoft 365 storage platform, with the backups securely stored within Microsoft's environment. As a Druva Cloud administrator, you can restore Exchange Online data in the event of accidental deletion or malicious activities for future reference and business continuity.

You can manage the Exchange Online through the following:

  • Check the number of Exchange Online mailboxes backed up via the Overview page.

  • Gain insights into ongoing and past restore activities for your Exchange Online via the Jobs page.

Microsoft 365 Backup Storage application is designed by Microsoft to offer the following benefits with respect to protecting your Exchange Online data:

  • Intuitive interface: Single access point to view and manage user's Exchange Online data.

  • On-demand restore: Perform on-demand or bulk recovery of Exchange Online data.

โ€‹ Backup configuration is currently limited by Microsoft to 50 mailboxes per instance, while restore operations are currently limited by Microsoft to 25 mailboxes per instance.


Know your Exchange Online Dashboard

The Exchange Online dashboard lists all the discovered mailboxes. This topic explains the dashboard and the actions you can perform on it.

Access path

The Exchange Online dashboard has three tabs.

  • All Mailboxes

  • Configured Mailboxes

  • Settings


๐Ÿ“ NOTE

When you set up for the first time, the Overview section initially shows no data. However, when you configure the backup, the Overview section will refresh to show your data.


Field description:

This section lists fields in the Exchange Online dashboard.

All Mailboxes

This tab lists all Exchange Online mailboxes and details such as mailbox name and address. You can perform the following actions on the All Sites tab.

  • Configure backup for Exchange Online mailboxes.

  • Search a mailbox using its name or email address.

  1. Configure for Backup: Configure backup for selected mailboxes.

  2. Search user: Search for a mailbox (user) using its name or email address.

  3. Name: The name of the mailbox (user).

  4. Email: The email address of the mailbox (user).

Configured Mailboxes

This tab lists configured mailboxes with details such as name and protection status (protected or not protected). On this tab, you can:

  • Restore data for the selected mailbox.

  • Filter the mailbox based on name, email, and protection status.

  1. Restore Data: Restore data for selected mailboxes.

  2. Search User: Search for a mailbox (user).

  3. Name: The name of the mailbox (user).

  4. Email: The email address of the user.

  5. Status: Protection status for a mailbox.

    1. Not Protected: The mailbox has not been backed up.

    2. Protected: The mailbox has been backed up.

Click the column headers to sort the list alphabetically by name, email, or protection status.


Settings

The tab displays the default protection plan. Due to limitations in the Microsoft 365 Backup Storage API, modifying the backup schedule and retention settings is not possible. For more details on backup policy, refer Microsoft Backup Storage API - Overview .

The statuses displayed in the Settings tab are as follows:

  1. Activated: All units are in a protected state, and policy status is active.

  2. Activated with Error: Some units are protected while others are unprotected, policy status is activeWithErrors.

  3. Updating: Some or all units are in protectRequested/ unprotectRequested/ removeRequested state, policy status is updating. Once successful, this status will change to Activated or Activated with Error.

Configure Exchange Online Backup

To configure the backup from the Exchange Online dashboard:

  1. Navigate to the left navigation pane and click on Exchange Online.
    All your mailboxes are automatically discovered and shown in a list.

  2. Select the mailboxes you want to configure for backup by checking the boxes next to them.

  3. Click on Configure for Backup.

  4. Click Save.

The backup configuration is currently limited by Microsoft to 50 mailboxes in a single instance.


Restore Exchange Online data

During the data restoration process, the administrator must manually select a restore point. A restore point signifies a specific moment from which a previously healthy version of content can be retrieved.

Restore Considerations

  1. The restore process will use the most recent healthy snapshot prior to the selected date and time.

  2. Data is restored to the original mailbox.

  3. The bulk restore operation is currently limited by Microsoft to 25 mailboxes in a single instance.

Procedure to restore a Mailbox

  1. Sign in to Druva Management Console and navigate to Microsoft 365 > Exchange online > Configured Mailboxes.

  2. On the Configured Mailboxes page, select the mailbox whose data you want to restore and click Restore data.

  3. Select the date and time on the Exchange Online Restore window.

  4. Click Restore.

Procedure to Bulk Restore Mailboxes

  1. Sign in to Druva Management Console and navigate to Microsoft 365 > Exchange online > Configured Mailboxes.

  2. On the Configured Mailboxes page, select the mailboxes whose data you want to restore and click Restore data.

  3. Select the date and time on the Exchange Online Restore window.

  4. Click Restore.

View Restore Status

To view the status of your restore, navigate to the jobs dashboard using the left navigation pane. The Jobs dashboard lists all the restore sessions and live activities.
