Using Druva inSync with OpenText eDiscovery

Overview

inSync can be used to preserve data backed up from devices of users who are on Legal Hold. inSync provides WebDAV access to the preserved data. OpenText eDiscovery can be used to parse through the preserved data and help data custodians to analyze and act on them. This guide describes how OpenText eDiscovery can be integrated with inSync to mine data under inSync’s Legal Hold.

This guide is intended for IT administrators who have experience with OpenText eDiscovery. They must be well-versed as OpenText administrators and must know how to create Workspaces and Applications on OpenText.

This guide focuses on how to map the Legal Hold WebDAV access URL provided by inSync to an OpenText eDiscovery Data Store. It does not describe the procedure for installing or configuring OpenText eDiscovery. Nor does it describe the procedure for scheduling or running Applications on OpenText eDiscovery, or analyze the data mined using OpenText.

Integration workflow

The following table lists the workflow for integrating OpenText eDiscovery with inSync. For detailed instructions, see the subsequent sections.

Step 1 : Create a Legal hold using inSync with OpenText eDiscovery

Before you begin

To create a Legal Hold policy, you must be a Legal Hold administrator. You must have the following information:

  • The URL to access the inSync Legal Administrator Portal.

  • The username and password to log on as a Legal Hold administrator.

Create a Legal Hold policy

To create a Legal Hold policy:

  1. Open the inSync Legal Administrator Portal.

  2. In the login page, type your username and password and then click Login.

  3. Click Create Legal Hold. The Create Legal Hold wizard appears.

  4. In the Legal Hold Summary page, provide the appropriate information for each field.

    • In the Legal Hold Name box, type the name for the Legal Hold policy.

    • In the Add users to Legal Hold box, type the email address of the users you are placing on Legal Hold.

  5. Click Next.

  6. In the Validate & Add users page, verify the list of users you are placing on Legal Hold, and then click Next.

  7. In the Data Access Using WebDav page, in the What data do you want to access using WebDAV list, click the Legal Hold data that you want to access. ​

  8. Click Finish.

Copy the WebDAV access URL

WebDAV is an extension of the HTTP protocol that facilitates collaboration on documents and files stored on World Wide Web servers. It is an open, published standard that allows users to edit documents on a remote web server.

To copy the WebDAV access URL:

  1. On the Legal Administrator portal, from the list of Legal Hold policies, click the policy for which you need the WebDAV access URL.

  2. Click Data Access. The data access URL and authentication details appear in the WebDAV Access Details area.​ ​

  3. Copy the Data Access URL.

Step 2: Create a OpenText eDiscovery Application

Before you begin

To create a OpenText eDiscovery Application, you must be a OpenText eDiscovery CORE administrator. You must have created the requisite Workspace to create the Application.

Assumptions

For the purpose of this document, we have assumed the following:

  • You are creating an Application called Druva_Reco1 on the Default Workspace to access inSync’s legal hold data.

  • You are creating an OpenText eDiscovery Application for ECA & Collection.

  • You plan to use the system template and a single engine for the Application.

  • You plan to use the default values for various parameters of the Application.

Procedure

To create an Application:

  1. Log on to OpenText eDiscovery as an administrator.

  2. Under the Default Workspace, expand Applications.

  3. Click Actions > Create Application. The New Application Wizard appears.​

  4. Select Axcelerate ECA & Collection and then click Next. The Define Template Type page appears.

  5. Select the System template for your application and then click Next. The Define Application Template page appears.

  6. Select Single engine and then click Next. The Application details page appears.​

  7. In the Display name box, type Druva_Reco1. Keep the default values in the remaining fields. Click Next.

  8. In the remaining pages of the wizard, continue with the default values.

  9. At the Summary page, verify the application details and then click Finish. The Application is created.

Step 3 : Create a Data Source for the OpenText eDiscovery Application

Before you begin

To create a Data Store for an Application, you must be an OpenText eDiscovery administrator. You must have created the requisite OpenText eDiscovery Application.

Assumptions

For the purpose of this document, we have assumed the following:

  • You are creating a Data Source called Legal Hold using the System template.

  • You plan to use the default values for various parameters of the Data Source.

Procedure

See OpenText eDiscovery's administrator documentation for details on configuring a data source.

To create a data source:

  1. Log on to OpenText eDiscovery as an administrator.

  2. Under the Default Workspace, expand Applications.

  3. Expand the application and the engine. In this example, we are using Druva_Reco1. ​

  4. After you select the engine, click to create a data source for the application. The New Data Source Wizard appears.

  5. Select the System template and then click Next. The Define Data Source Template page appears. ​

  6. Select Server - local data, and then click Next. The Data source details page appears.

  7. Enter the following details:

    • In the Display name box, enter a relevant name for the data source.

    • In the Description box, enter a relevant description for the data source.


    📝 Note
    You are not required to make any changes in the Host to perform crawl on box. This box will be pre-filled automatically with details of the host system for OpenText eDiscovery applications as setup by the OpenText Professional services team.

  8. Click Next. The Collection storage details page appears.

  9. Click Next. The Summary page appears.

  10. Verify the details of the data source, and then click Finish.

A new data source is created.

Step 4 : Add Legal Hold WebDAV URL to OpenText eDiscovery

Before you begin

To add the Legal Hold WebDAV URL to a OpenText eDiscovery Store, you must have the following:

  • The WebDAV URL

  • The email ID and the password that the inSync Legal Hold administrator uses to log on to the inSync Legal Administrator portal

  • You have monitoring rights on the OpenText eDiscovery instance

Procedure

To map WebDAV URL to the OpenText eDiscovery Store:

  1. Log on to OpenText eDiscovery as an administrator.

  2. Under the Default Workspace, expand Data Sources and select the required data source. In this example, we are using Legal Hold.

  3. After you select the data source, click Actions > Configure. The configuration page for Legal Hold appears.

  4. Under Legal Hold, click Dataset definition. In the URI box, type or paste the inSync Legal Hold WebDAV URL.

  5. Expand Crawler Connections > Base Connectors > HTTP Settings and then select Web Authentication.

  6. In the Authentication page, enter the following information:

    • In the Username and Password box, type your inSync Legal or inSync Server Administrator credentials.

    • In the Host box, enter the host details only and not the entire WebDAV URL. For example, restore-c1-eval.druva.com

  7. Click OK. The Details page appears.

  8. Verify the details, and then click Save.

  9. Right-click the data source and then click Start.

  10. (Optional) Enter alternative credentials on this screen or leave it blank to continue using the preconfigured credentials.

  11. Click Start to start executing the crawl from OpenText eDiscovery on the data collected from inSync.

Step 5 : Integration and post-integration notes

Overview

This section lists specific scenario-based integration and post-integration notes.

Use OpenText eDiscovery to mine Outlook emails on Mac

If you want to use OpenText eDiscovery to mine Outlook emails on Mac:

  1. Add the inSync Legal Hold WebDAV URL directly into OpenText eDiscovery as an HTTPS crawl.

  2. Exclude Mac Outlook files (*.olk files). OpenText ingests all remaining files and generates a report listing mailboxes that are excluded or not ingested.

  3. On a Mac, mount WebDAV and access the mailboxes listed in the report from step 2, and then convert them into OLM files using Outlook on Mac.
    OpenText ingests these OLM files.
