Backup Groups data

This article describes how to schedule automatic backups or perform a manual on-demand backup.

Overview

You can perform backups in two ways:

Before you begin

Before initiating a backup for Microsoft 365 Groups data, ensure the following:
βœ… Review the support matrix and inSync-supported tasks for Microsoft 365 Groups. ( See Introduction)
βœ… Complete the necessary inSync configurations for Microsoft Groups. (See Configuration guide)

Auto-Configuration of Groups for Backup

You can automatically apply backup settings to:

  • Newly discovered Groups

  • Already discovered but not yet configured Groups and their associated apps

Steps to Enable Auto-Configuration

  1. Sign in to the Druva Management Console.

  2. Navigate to Microsoft 365 > Groups. A list of discovered Groups will appear (configuration status: Not Configured).

  3. Go to the Settings tab.

  4. In the Auto Configuration section, click Edit.

  5. Turn on Enable Auto Configuration of Groups for Backup.

  6. Select the storage to assign to discovered Groups.


    πŸ“ Note: Default backup settings from the profile will be applied.


  7. Select the checkbox to apply these backup configuration settings to Groups that have already been discovered but have not yet been configured for backup.

  8. Click Save.

Manual Backup of Groups Data

Use manual backup to assign custom backup configurations for specific Groups and their associated apps. Watch this video to learn more.

Steps to Enable Manual Configuration

  1. Sign in to the Druva Management Console.

  2. Navigate to Microsoft 365 > Groups.

  3. Select the Groups you want to back up and click Configure for Backup.

  4. Enter the Group name or email address.

  5. Select the storage region (πŸ“Note: Storage, once assigned, cannot be changed).

  6. Choose default or custom backup settings:

    • Default Backup Settings: Predefined settings from the profile. (See Edit Default backup Settings)

    • Custom

      • Custom Backup Settings: Manually configure the following:

        • Backup Frequency – Set how often backups occur.

        • Retain daily, Weekly, and Monthly data backups for – Define how long backups should be retained. For example: If you set a 5-day retention period, a backup taken on Jan 6, 2023, will be deleted on Jan 11, 2023.


          πŸ“ Note: To retain backups indefinitely, enter 0 for all daily, weekly, and monthly retention settings.


        • Data Lock (For Cloud Administrators Only)

          • Enables Data Lock to prevent modifications/deletions.

          • To enable, select Enable Data Lock and confirm.

          • Once enabled, Data Lock settings cannot be changed.
            ​
            ❌ Cannot delete snapshots
            ​
            ❌ Cannot edit the retention period
            ​
            ❌ Cannot disable Data Lock

            ❌ Go back to default settings.​​​​

      • Custom Site Settings: Manually configure the following:

        • Enable Smart Backup – Improve backup efficiency by skipping backup of sites with unchanged content. To learn more, See Smart Backup

        • Exclude Teams Meeting Recordings (TMR) – Excludes files in the default folder /Channel name/Documents/Recordings by default.

          Uncheck this setting to back up TMR files.


          πŸ“ Note:

          • The first backup after disabling the exclusion setting will be a full scan backup.

          • To avoid a full scan backup of all configured sites, disable the exclusion setting only for sites that require TMR files to be backed up.


        • Exclude File Types and Extensions – Specify file types to exclude from SharePoint backups. Extensions are automatically added. If you want to remove a file type, click the file type.

        • Exclude Relative URL Paths – Define specific subsites, document libraries, or lists (separated by semicolons) to exclude from SharePoint backups.

  7. Click Save.

  8. Navigate to the Configured Groups tab, and open the desired Group.

  9. In the Summary tab, click Backup Now to start the backup.


πŸ“ Note:

  • The Backup NowΒ option is disabled on the Groups page for the disabled groups.

  • The backup begins only after the storage is assigned. Select a storage from the Assign StorageΒ list. When auto-configuration is enabled, storage is auto-assigned when you add a group. Update the backup and retention settings if required and click Save.

  • Restoring a Group as a mail-enabled security group is NOT supported.

  • Mail-enabled security groups and Distribution groups can only be restored as Microsoft 365 Groups.


Edit default backup settings

Modify backup and retention settings from the default profile using the following steps:

  1. Go to the Settings tab.

  2. In the Default Backup Settings section, click Edit.

    The Edit Default Backup Settings window will appear.

  3. Update the setting as needed. For more information, see Custom settings above.
