Overview
Druva cloud platform allows administrators to customize the activation email sent to users during the account creation process. This email includes essential onboarding information such as download links, login credentials, and portal URLs.
📝 Note
The activation email can only be customized at the time of user creation. If you wish to update the email template without creating real users, you can create a dummy user, modify the email content, and then delete the user. The updated template will be used for all future user activations.
Procedure
Follow these steps to customize the activation email for new users:
Navigate to the User Management Section
Go to the Endpoints, Microsoft 365, or Google Workspace dashboard.
Click Users.
Initiate User Creation
Click Add User to open the Add New User window.
Provide User Details
Fill in the required fields to define the new user.
Refer to the documentation: Add Users Individually for details.
Customize the Activation Email Content
Update the Subject and Body of the activation email. You may include the following variables:

%USER% | Displays the user’s full name |
%SERVERS% | Inserts the inSync Master URL (Do not modify this value) |
%MAIL% | Inserts the user's email address |
%PASSWORD% | Inserts the temporary password for the user |
%CLINK% | Provides a download link for inSync client installer (can be replaced with a custom URL) |
💡TIP:
Customize the message professionally while ensuring that all necessary variables are included for proper user onboarding.
Complete the Process
After customization, click Add to create the user.
The customized activation email will be sent automatically to the user.
Important Notes
Once updated, the activation email template is saved and used for all subsequent user creation events.
Ensure that all required placeholders are retained to avoid missing information in the email.
