Overview
Organizations collect information from individuals in connection to their business operations. General Data Protection Regulation (GDPR) is a framework that enforces rules over how the personal information of individuals should be processed and used in transactions that occur within EU member states.
As part of GDPR, data subjects are identifiable individuals using common identifiers, such as name, location, or ID numbers.
A Subject Access Request (SAR) is a data subject’s right to access the information an organization holds. The right to access includes:
Being aware of how personal data is processed
Accessing their data
Accessing details on the usage of personal data
You can create a Subject Access Request from the Salesforce App to raise requests related to your backup data. The following workflows ensure backups are GDPR compliant.
Subject Access Request | Description |
Forget - Right to Erasure | Delete records from your backup files. |
Change - Rectification | Edit or rectify records to address any inaccurate data from your backup files. |
Export - Data Portability | Export records from your backup files in a structured format. |

Subject Access Requests, when raised from the Salesforce App have a two-day delay period for request completion.
Forget - Right to Erasure
Procedure
On the Salesforce App console, click Data Backup.
Click Subject Access Request.
Select Forget - Right to Erasure. The Subject Access Request - Right to Erasure window appears.
Search for the object in the Search by object name search box to delete the associated records.
Enter information to fetch associated records using one of the following options:
Enter the 18-digit record IDs in the Salesforce Ids text box to delete a record. Use commas to separate multiple IDs.
Click Upload Files and upload a CSV file to delete a significant number of records.
6. Click Add.
7. Enter a comment to describe the Subject Access Request.
8. Enter an email address to receive a confirmation email.
9. Click Create Request to submit the Right to Erasure request.
Change - Rectification
On the Salesforce App, click Data Backup.
Click Subject Access Request.
Select Change - Rectification. The Change - Rectification window appears.
Search for the object in the Search by object name search box to edit the associated records.
Enter information to fetch associated records using one of the following options:
Enter the 18-digit record IDs in the Salesforce IDS text box to edit a record. Use commas to separate multiple IDs.
Click Upload Files and upload a CSV file to edit a significant number of records.
6. Enter the Field API name in the Field Name (API Name) text box to change the value you wish.
7. Enter the new field value in the New Field Value text box.
8. Click Add Field Change.
9. Enter a comment to describe the Subject Access Request.
10. Enter an email address to receive a confirmation email.
11. Click Create Request to submit the rectification request.
Export - Data Portability
On the Salesforce App console, click Data Backup.
Click Subject Access Request.
Select Export - Data Portability. The Export - Data Portability window appears.
Search for the object in the Search by object name search box to export the associated records.
Enter information to fetch associated records using one of the following options:

Click Upload Files and upload a CSV file to export a significant number of records.

Review Subject Access Requests
Subject Access Requests have a two-day delay period for request completion. You can click Review Subject Access Requests to see all pending requests.
